2. Processing activities

2.1 Visits to our website

When you visit our website, we register certain technical information in our server logs in order to operate and protect the website. In this context, we process the following information:

IP address
Browser user agent (browser and operating system information)
Time of the visit
The page(s) visited

This information is processed for the purposes of operating and securing the website, troubleshooting, prevention of misuse, and for internal, aggregated insights based on technical log data, without tracking individual users or visits across sessions.

We also use Google Analytics 4, provided by Google, to collect statistical information about the use of our website, but only if you have given your consent to analytics cookies. Google Analytics helps us understand, for example, which pages are visited, how visitors find our website, which devices and browsers are used, and how visitors interact with our content. In this context, Google Analytics may process information such as cookie identifiers, device and browser information, approximate location, referral source, pages visited, time of visit, and interactions with the website. According to Google, Google Analytics does not log or store individual IP addresses from EU users.

We use Google Analytics only for statistics and website improvement. We do not use Google Analytics for remarketing, personalised advertising, Google Signals, or automated decision-making.

All core website assets, including front-end libraries, are served directly by us. We do not use third-party analytics, marketing tools, or tracking technologies on the website.

Some articles may include embedded content, such as videos. Embedded content from third-party platforms may collect technical data when activated. Such content is not loaded automatically and requires user interaction. Where such content is used, it will be loaded in a manner consistent with applicable data protection requirements.

2.2 Use of cookies

We use cookies and similar technologies on our website. Some cookies are technically necessary for the website to function, while others are used for analytics and statistics.

Technically necessary session cookie

We use a technically necessary session cookie to manage active visits to the website. The session cookie is used, for example, to prevent repeated clicks from the same session from inflating article view counts.

The session cookie does not contain personal data, is not used to recognise returning visitors, and is deleted automatically when the browser is closed. No session data is retained after the session ends.

Analytics cookies

If you consent to analytics cookies, we use Google Analytics 4. Google Analytics uses cookies and similar technologies to collect statistical information about how visitors use the website. This may include cookies such as _ga and _ga_, which are used to distinguish users and maintain session information.

Analytics cookies are not placed unless you have given your consent. You can withdraw or change your consent at any time through the cookie settings on the website.

Server logs are retained for a longer period for operational and security purposes. Personal data contained in server logs, including IP addresses, is deleted or anonymised after up to 12 months, unless a longer retention period is necessary for security reasons.

Data collected through Google Analytics is retained in accordance with our settings in Google Analytics and is used only for aggregated statistics and website improvement.

When you first visit our website, you will be asked whether you consent to the use of analytics cookies. You can choose to accept or reject analytics cookies.

Your consent is voluntary, and you can withdraw or change your consent at any time through the cookie settings on the website. Withdrawing consent does not affect the lawfulness of processing based on consent before its withdrawal.

If you reject analytics cookies, we will not use Google Analytics to collect analytics data about your visit.

2.5 Communication via contact form or email

When you contact us through the contact form on the website or by email, we process the personal data you provide to us. This will typically include:

The purpose is to respond to your inquiry and to engage in dialogue with you, for example about our services or a potential collaboration.

Legal basis: Article 6(1)(f) of the General Data Protection Regulation (legitimate interest in responding to inquiries and providing our services).

We retain the communication for up to 12 months, or until the dialogue has been concluded, whichever comes first.

3. Processors

We use data processors who may process personal data on our behalf when this is necessary for the operation of our business and website. This includes:

Microsoft 365 (Outlook) – for email hosting and communication

Google Analytics 4, provided by Google – for website analytics and statistics, where you have consented to analytics cookies

The website itself and the associated server logs are hosted on our own server.

We enter into data processing agreements with relevant providers where they process personal data on our behalf. We require that personal data is processed securely and in accordance with applicable data protection legislation.

4. Disclosure of personal data

We do not disclose personal data to third parties for their own independent purposes, unless we are required to do so under applicable law or by public authorities.

We may share personal data with service providers who process personal data on our behalf, including providers of email hosting and website analytics. Such service providers may only process personal data in accordance with our instructions and applicable data protection legislation.

5. Profiling and automated decision-making

We do not carry out profiling or automated decision-making within the meaning of Article 22 of the General Data Protection Regulation. We do not use Google Analytics for profiling, remarketing, personalised advertising, or automated decision-making.

6. Transfers to third countries

As a general rule, we do not transfer personal data to countries outside the EU/EEA in connection with the operation of our own systems.

However, when we use Google Analytics, personal data may be processed by Google entities or subprocessors outside the EU/EEA, including in the United States. Where such transfers take place, they are based on appropriate safeguards or transfer mechanisms under the General Data Protection Regulation, such as the EU-U.S. Data Privacy Framework or the European Commission’s Standard Contractual Clauses.

We assess the use of Google Analytics and related transfer mechanisms on an ongoing basis.

7. Security of processing

We have implemented appropriate technical and organisational measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, or unauthorised access.

These measures include, for example:

Access control to systems and email
Restricted access to server logs
Consent-based loading of analytics cookies
Configuration of Google Analytics with a focus on data minimisation

We continuously assess the level of security and adjust our measures where necessary.

8. Your rights

You have several rights under the General Data Protection Regulation in relation to our processing of personal data about you.

8.1. Right of access

You have the right to obtain access to the personal data we process about you, as well as additional information about the processing.

8.2. Right to rectification

You have the right to have inaccurate or incomplete personal data about you corrected.

8.3. Right to erasure

In certain cases, you have the right to have personal data about you erased before our general retention period ends.

8.4. Right to restriction of processing

In certain cases, you have the right to request that the processing of your personal data be restricted. If you exercise this right, we may only process the data, apart from storage, with your consent or for the establishment, exercise, or defence of legal claims, or for the protection of a person or important public interests.

8.5. Right to object

In certain cases, you have the right to object to our processing of your personal data which is based on Article 6(1)(f). You also have the right to object to the processing of your personal data for direct marketing purposes.

8.6. Right to data portability

In certain cases, you have the right to receive your personal data in a structured, commonly used and machine-readable format and to have this data transmitted from one controller to another.
